Orientation

Vancouver Coastal Health (VCH), First Nations Health Authority (FNHA), Fraser Health Authority (FHA), Interior Health Authority (IHA), Island Health Authority (VIHA),  Northern Health Authority (NHA), Providence Health Care (PHC), and Provincial Health Services Authority (PHSA) are committed to offering students quality practice education opportunities. To improve student support and infrastructure the health authorities have collaborated to develop an online core orientation for students and faculty accessing all British Columbia health authorities.

Students and instructors entering a health authority for a practice education experience must complete the Student Practice Education Core Orientation (SPECO - curriculum), the SPECO Checklist, and sign the Vancouver Coastal Health Confidentiality Undertaking form.

Auto provisioning of Vancouver Coastal Health computer login accounts is in place for all students and instructors assigned in the HSPnet data base.  Accounts will start with an "S" for students and an "E" for instructors followed by a five digit number.  Student and faculty/instructor names, along with a school email, should be entered into HSPnet 4 weeks prior to the placement start date.  An automatic email will be sent with the User login ID and an activation code that will only work on a VCH computer.  All accounts are valid for the duration of the program and will be automatically re-enabled with the assignment in HSPnet to the next practicum placement.  Group instructors will receive email notification (name and account number only) when the account information is emailed to each student assigned in their group.  Only students will be emailed the activation code. 

Practice Education Guidelines [PEGs] are a provincial resource that provide direction for student practice experiences. PEGs are available through our online student placement data base, known as the Health Sciences Placement Network (HSPnet).

1Complete the SPECO (curriculum)

Complete the Student Practice Education Core Orientation - SPECO (curriculum) by creating an account or logging in to the LearniningHub .  The required orientation courses to complete will be listed when you enroll in the SPECO (curriculum).  The list of courses will have a Start Course or a check mark and Completed button to the right of each course.  Each of the courses with a Start Course button will need to be completed.  

Practicum students returning to the health authority will need to enroll in the SPECO (curriculum) to complete any new or missing courses.         

Students should only have one account in the Learning Hub.  All students who have several accounts need to go into the LearningHub and submit a help ticket requesting their accounts be merged into one.  Log into LearningHub, choose Help at the top, then Get Help.  Click on the blue Learner Support button to 
e-mail your request.  Enter the additional emails used in the accounts that need to be merged in the description

Note:  Under Description at the bottom of the page, on the left side, there are drop down menus for Health Authority and Learner Support Category that are required fields.  Choose Account Merge / Link from the Learner Support Category and Submit your request.  


2Confidentiality Undertaking

You are required to read the Vancouver Coastal Health Information Privacy and Confidentiality Policy and agree to the online VCH Confidentiality Undertaking for Student Practice (form) before your first practicum placement.


3Cerner Modules

Vancouver Coastal Health will be introducing a Clinical & Systems Transformation (CST) project to improve the safety, quality and consistency of patient care at .  

You must complete the Cerner training and agreement, at least one week prior to placement start, but no more than four weeks in advance, to receive access to the Cerner system.

This will be required training for the future.  Please wait for more details.


4Training and Access for Clinical Systems

You may require access to health records as part of your learning experience.  Students may only have access to the records of patients/clients who are currently in their care.  Throughout VCH there are various electronic clinical information systems that are used in the provision of care. You may be required to attend training, perform competency assessments, and have approved access to these systems.  Access to electronic clinical information systems is only provided for the duration of the clinical learning experience.  It is the responsibility of the student and/or on-site faculty to ensure that students have received the necessary training and mastery at the onset of the clinical experience.

PCIS access is given to preceptorship students and groups instructors.  It is the responsibility of trainees to ensure they complete all necessary clinical systems training at least one week prior to the start of the rotation, but no more than 4 weeks in advance to receive access to the PCIS system upon arrival.  Group instructors will look up values and discuss the results with their students.  Please contact the Service Desk at 604-875-4334 for support.

Students returning for another placement may contact the Service Desk at 604-875-4334 to have their PCIS account reactivated.  The new placement dates are validated by the PCIS Enrollment Analyst through the student assignment in HSPnet.

UBC Program Coordinators will be the main contact for students/residents.  

Network ID
Confirmed rotations are entered into the HSPnet placement data base by UBC.  Reports are generated from the data base and used to request UserIDs and passwords for computer access.  The network account information will be sent to your UBC student email the month before your rotation at a Vancouver Coastal Health site.  If you do not receive your network account login information please email UBC Clinical Placement Support.

CareConnect
CareConnect accounts are granted to medical residents once the network account has been set up.  A CareConnect welcome package will be sent to your UBC issued email address.  After the initial set up, if you would like to make any changes to your CareConnect account you can submit your request via the online form (This link is only accessible on the Health Authority network):  https://enrol-careconnect.healthbc.org


Photo ID and Building Card Access
Medical Undergraduates are expected to wear their UBC Photo ID.
Medical Residents will be issued VCH Photo ID. Please contact your program administrator about obtaining a VCH Photo ID card and building card access.    UBC Program Coordinators are the approver for the access requests, replacement VCH Photo ID requests and responsible for requesting and distributing VCH Photo IDs to students and residents.  

In order to receive ID's prior to the start of any program, photo id requires a 2 week timeframe, where possible, to have badges available or programmed prior to a program start time.

All information is to be gathered together for each program before forwarding to lmcpid@fraserhealth.ca Ie, If John Smith and Jane Doe are both starting Sept 1st. Do not sent John Smith information Aug 1st, then send Jane Doe on August 15st. Send them together on Aug 15st.


To obtain additional access on an existing VCH card your Program Coordinator must submit a request using the online eform.  Your UBC Program Coordinator will approve the application form.

You will need to complete the PCIS VA/RH Basics – Online training to obtain a PCIS account for VCH hospitals (UBCH, Richmond Hospital and Vancouver General Hospital).
Please call Transcription Services once you have completed the training and received the confirmation e-mail that your have successfully completed it.  It takes about 1-2 business days to receive the confirmation email and another 1-2 business days for Transcription Services to create your unique dictation ID.

Once the instructor/students obtains their Photo ID, instructors email the following information to lghmedcarts@vch.ca

  • Instructor name and school
  • Student’s name
  • First 6 digits on the back of the Photo ID
  • Start and end dates of placement

It is asked that this is done at least 2 weeks in advance to guarantee access to medication dispensing systems when the instructors and students arrive on site.

All questions or concerns in relation to Photo ID can be directed to Student Practice Education at VCH Placements 


Generic cards for the medication carts are available for daily sign out from switchboard while the students are waiting for their Photo ID.  To be authorized to sign them out, instructors should email Barb Ferreira at Barb.Ferreira@vch.ca from their school email address to request being put on the list.

PARIS / EMR

 

All Primary Access Regional Information System (PARIS) and Electronic Medical Record (EMR) training requests for school instructors and students are sent by the Student Practice Education Department.  Training requests are sent approximately three weeks before the practicum start date. 

 

If the school instructors would like to hold spots for PARIS / EMR training dates before the students are assigned, please contact your school placing coordinator no later than 1.5 months before the placement start date. If you have any queries, please e-mail VCH Placements 

 

The registration confirmation email from PARIS/EMR will be sent to the student's school e-mails by the PARIS/EMR team.


Pixalere

A reminder email will be sent to the school Placing Coordinator approximately one month in advance of the placement start date for students at a destination that uses Pixalere.


Student Groups  A separate training date will be added for each nursing group.  Your school instructor will let you know the date you need to register for training.
